Summary

The Photography & Image Use Policy outlines how British Guardianship safely captures, stores, and uses photographs and videos of students in line with safeguarding law, UK GDPR, the Data Protection Act 2018, and AEGIS standards. It requires explicit written parental consent and student consent for those aged 13+ before any images are taken or used. Staff must ensure images are appropriate, respectful, and never taken in private areas or stored on personal devices. Images may only be used for approved purposes, shared through authorised channels, and securely stored on protected systems. External photographers must follow strict supervision and confidentiality rules. Breaches trigger safeguarding and disciplinary action.

To make sure this policy always reflects the highest standards of student care, it is reviewed and updated every year in line with UK safeguarding requirements and the standards set by our accrediting bodies, AEGIS and the Boarding Schools' Association (BSA). This annual review ensures our approach keeps pace with changes in legislation, official guidance, and best practice, including the evolving nature of online risks, so that students, parents, and schools can be confident our procedures remain current and effective.
